Final Details Event Management
PRE EVENT PRODUCTION:

During the two months prior, two meetings (in person or zoom) with the Client to cover the following:
1st meeting - Review all the vendor contracts provided by Client and produce a minute-by-minute timeline of the wedding day
2nd meeting - Final detail meeting with client, meet at venue if available.

Assist client to establish the event style, direction and flow
-
Assist with layout design of ceremony, cocktail and reception space (if needed)
-
Vendor recommendations in accordance with client’s style and budget
-
Act as the liaison between client and vendors for all logistical needs
Contact service providers for arrival and end times, including strike times
Communicate venues policies for procedures for unloading, set up and tear down and collect certificate of insurance for all vendors
Confirm all vendors orders and quantities on rental items

Create complete master timeline for wedding day and share with all vendors two weeks prior to wedding date

Create personalized timeline for couple, family and wedding party
-
Review and proof BEO (Banquet and Event Order) provided by caterer
-
Provide guidance of printed materials including: save the date, invitation, ceremony

program, and menu (if needed)
-
Guidance on personal items such , table numbers/names, seating chart, & signage.
WEDDING WEEK:
-
Attend final meeting with client and collect all celebration elements
-
Confirm all details and arrival times for vendors
-
Provide schedule for family and VIP guests
-
Coordinate all printed materials
-
Coordinate rehearsal with (or without) Officiant
-
Coordinate all aspects of wedding celebration (12 hours)
-
Oversee check-in of rentals
-
Create steps of service for catering team
-
Coordinate all deliveries and installations of celebration in accordance with vendor contracts
-
Coordinate distribution of final payments and gratuities
-
Organize and set up programs, escort cards, place cards and menu cards
-
Oversee timely flip of room from ceremony to reception (if needed)
-
Conduct final lighting, sound and temperature inspection prior to guest arrival
-
Conduct final seating and table check prior to guests welcomed to reception
-
Cue all music changes and speeches with band/DJ
-
Cue guest of honor and family for special moments including: cake cutting, toasts and dancing
-
Serve as point person for all vendors—cueing timing throughout event
-
Manage and remedy all moment-to-moment challenges –
-
Oversee strike of venue
-
Double check return/pick up of all rental elements
-
Includes 1-4 assistant coordinators depending on final guest count
This package begins 8 weeks prior to the wedding date. Client has the option to add Unlimited Consultation via Email and Telephone at a rate of $350.00 per month from the date of signing the contract.
